BUYER CHOICE HANDOFF — a practical consent mapping worksheet
Owner and next review date:
Merchant and market; storefront, agent surface and capability/version:
Purpose and channel: for example marketing email / marketing SMS / analytics / preferences:
Exact buyer choice: granted / denied / withdrawn / not presented / unknown. Do not treat an order as permission.
Choice source and evidence reference; policy wording/version presented; observed timestamp and timezone:
Approved pseudonymous contact link and match confidence: exact / ambiguous / unavailable. Do not enter names, email addresses, phone numbers, access tokens or message text in this worksheet.
Destination: CRM subscription type or external system, channel, responsible owner and supported current API/version:
Prior destination status; suppression or global unsubscribe; source-of-truth and ordering rule:
Expected write: record verified grant / record denial or withdrawal / no change and queue review. Separate marketing consent from contact creation and purchase confirmation.
Write operation ID / idempotency support / intended payload reference (no credentials):
Destination response: confirmed / rejected / uncertain; verification evidence and time:
If outcome uncertain: inspect the destination first. Never repeat a write until the actual outcome and provider retry rules are understood.
If older grant arrives after later withdrawal: quarantine, preserve the newer withdrawal under the approved ordering policy, and check the authoritative subscription state before any send.
Conflicts, missing fields, data minimisation, retention and deletion owner:
Synthetic example: A buyer declines marketing email on an agent surface; one verified destination subscription is suppressed. An older grant arriving late is queued and cannot reverse the later choice. A subsequent purchase does not change email permission.
Test with synthetic records: grant, denial, withdrawal, missing country or purpose, ambiguous identity, duplicate or out-of-order event, uncertain write, stale suppression, and differing email/SMS choices.
Decision and owner: pass / blocked / follow-up. Review law and channel requirements with the responsible privacy professional; this template does not establish compliance.

What this worksheet helps you decide

Use this original worksheet before connecting buyer choices from an agentic shopping surface to a CRM or marketing system. It gives marketing, engineering and privacy owners one map of the purpose, channel, evidence, identity match and destination subscription state. It does not interpret law for a specific market, prove valid consent, or authorize sending. Use synthetic examples during planning; keep customer identifiers, credentials and raw conversations out of the editable template.

1. Map the choice, not just the contact

Record the actual buyer choice and the wording and policy version shown for each purpose and channel. A choice for analytics, email marketing or SMS marketing is not automatically permission for another purpose. Keep granted, denied, withdrawn, not presented and unknown distinct in your evidence model. A purchase or a newly created CRM contact does not itself mean that the buyer opted in. The privacy owner verifies whether consent or another lawful basis is applicable to the specific activity and country.

2. Define the handoff contract

Engineering documents the source, capability and version, a permitted exact-match method, timestamp, destination subscription type and who owns errors. Verify the merchant's actual negotiated capabilities rather than assuming a vendor announcement applies to every implementation. Preserve a source event reference and decision evidence under appropriate access and retention controls. Do not place emails, telephone numbers, session tokens or raw messages in event names, URL parameters or ordinary logs.

3. Protect suppression and handle uncertain writes

Before a send, verify the current applicable destination state and suppression rules. A delayed grant event must not blindly overwrite a later withdrawal; compare event ordering and source-of-truth evidence using an approved conflict policy and quarantine ambiguity. If a write times out, check the destination before retrying and follow the provider's documented idempotency support. A successful contact update is not proof that a subscription preference was recorded.

Worked synthetic example

A shopper declines marketing email while completing a purchase. The integration has an exact approved destination match and records the decline against the email subscription; SMS remains unknown because no SMS choice was presented. A previously queued grant arrives with an earlier decision time. The system holds it for reconciliation and keeps the verified later suppression in force. The receipt for the purchase is treated separately from marketing. This illustrates a proposed control, not a legal determination or an actual customer case.

Run these checks before launch

  1. Test a grant, denial, withdrawal and a choice never shown, separately by channel.
  2. Test missing or ambiguous identity, missing country, a duplicate message and a late older event.
  3. Simulate a timeout after a destination write; inspect state before retry and retain an exception owner.
  4. Check that a global unsubscribe or suppression is applied at send time, not merely recorded in a spreadsheet.
  5. Assign a reviewer, next verification date and rollback or pause procedure for mismatches.

Sources and limits

Checked 29 October 2026. Shopify's 16 October buyer-consent update describes purpose-specific choices when the UCP 2026-08-25 extension is negotiated, including shop defaults when a choice is not sent. It is not a claim that every integration supports it. HubSpot's developer update describes preference-management links; verify your account, API version, permissions and subscription mapping before implementing any integration. The worksheet is an original editorial synthesis, not legal advice or an assertion that this website implements these controls.
